I stopped trusting my memory years ago. Here is the loop I run after every single meeting, and it takes about ten minutes.
Step 1: Record it
A wearable recorder on your shirt or the recorder app in your pocket. I wear a Plaud because it transcribes automatically, but the free app on your phone works on day one. One rule first: consent laws vary by state. Most states are one party consent, meaning you can record a conversation you are part of. About a dozen require everyone to agree. Check your state, and when in doubt, ask on tape. A yes turns a risky recording into a clean one.
Step 2: Get the transcript
Good recorders hand you a transcript automatically. If yours does not, run the audio through a transcription app. This step is fully automatic either way. You drive to the next appointment while it works.
Step 3: Feed it to AI
Paste the transcript into Claude or ChatGPT with this exact prompt:
Thirty seconds later you have all four. Read the email before you send it. AI drafts, you verify. Fix anything that does not sound like you.
Step 4: Send it the same day
Follow-up email out. Action items on your list. Note in your CRM. Done before the customer has eaten dinner.

Put yourself in the customer's chair. Three contractors walked the property this week. Two of them will call back eventually, maybe, with a number that might match what they said in the driveway. One of them sent a same-day email with the exact scope, the exact price, and every question answered in writing.
Who looks like the professional? Who gets the job at a higher price? Same-day follow-up with exact numbers reads like competence because it is competence.
